Enquiry privacy policy
Last updated 2 November 2026
Who is responsible for your information?
Lee Kavanagh, providing personal training and strength, fitness and lifestyle coaching in Forest Row, East Grinstead and surrounding areas, is responsible for the enquiry information described here.
For privacy questions or requests, email leekavanaghcoaching@gmail.com.
What information is collected?
When you enquire through a Facebook or Instagram lead form, the information collected includes your name, email address, telephone number, postcode and selected training goal. Correspondence may also include information you choose to provide about your availability and coaching preferences. Please do not submit medical details through an advertising enquiry form.
Where does the information come from?
You provide the information directly. Meta may prefill contact fields from your Facebook or Instagram profile; you can check and correct those details before submitting. Enquiry information may also be received directly by email or through the website.
Why is it used?
Your information is used to respond to your enquiry, discuss your goals, check whether home visits are available in your area, explain coaching options and arrange a consultation or booking.
Where you request information or arrangements with a view to buying coaching, processing is necessary to take steps at your request before entering a contract. For general enquiries and reasonable follow-up, the basis is legitimate interests in answering prospective clients and operating the coaching business, balanced against your rights and expectations.
Submitting an enquiry does not subscribe you to a newsletter. Separate permission will be requested before adding you to an email or text marketing list where required. You can ask for enquiry follow-up to stop at any time.
Who receives the information?
Lee Kavanagh handles your enquiry and keeps enquiry records in Meta, Gmail and Google Sheets used to track contact details, training goals, correspondence and follow-up status. Access to these records is limited to those who need it to handle your enquiry. Service providers used to receive, store or communicate about enquiries include Meta for Facebook and Instagram forms, Google for Gmail correspondence and Google Sheets enquiry tracking, and Netlify for website hosting and any enquiry forms processed through its service. Information may also be disclosed when legally required or necessary to establish or defend legal rights. Enquiry details are not sold.
Processing outside the UK
These technology providers may process information outside the UK. Applicable arrangements must provide a valid transfer mechanism, such as UK adequacy regulations or approved contractual safeguards where required. Contact the email above for information about the arrangements relevant to your enquiry and how to obtain details of safeguards. Meta and other providers also publish their own privacy information about processing for their own purposes.
How long is it kept?
If your enquiry does not result in you becoming a client, your enquiry records will be deleted from the business’s Meta lead records, Gmail and Google Sheets six months after the last contact with you, unless a legal obligation or dispute requires longer retention. Service providers may retain residual copies under their own backup, security or legal retention arrangements. You may request earlier deletion, subject to applicable exceptions. If you become a client, you will receive information about the additional records and retention periods applicable to coaching.
Your choices and rights
There is no legal obligation to submit an enquiry. The form asks for contact details and a postcode so Lee can respond and check service availability. You can instead contact Lee by email.
Depending on the circumstances and lawful basis, you can request access, correction, deletion, restriction or transfer of your information, and object to processing based on legitimate interests. Where processing relies on consent, you can withdraw it without affecting prior lawful processing. Contact the email above to exercise your rights.
No decisions with legal or similarly significant effects are made solely by automated processing of these enquiries.
Questions or complaints
Please contact Lee first with any concern. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint/.
Scope and updates
This notice concerns initial enquiries. Any collection of medical information, ongoing coaching records, payment data, analytics or advertising-cookie data must be covered by additional information reflecting the services actually used. This notice will be updated when enquiry handling changes.
